Refund & Cancellation Policy
Plans change. The important part is knowing what happens next.
Effective Date: August 26, 2026
Please read this policy before making payments or booking decisions. It explains how Wander World Destinations ("WWD," "we," "us," or "our") approaches refunds and cancellations, and where a third-party supplier's terms — rather than ours — determine the outcome. This policy should be read together with our Terms & Conditions and the client agreement or trip-specific terms you accept for your reservation.
How This Policy Works
Travel arrangements usually involve two different kinds of money: the professional planning fees you pay Wander World Destinations, and the payments made to travel suppliers such as airlines, hotels and resorts, cruise lines, tour operators, transfer providers, and destination partners.
These are treated separately. WWD sets the terms for its own planning fees. Supplier payments are governed by the terms of the applicable supplier and by the agreement you accept for that booking.
There is no single cancellation schedule that applies to every trip WWD plans or hosts. The terms that apply to your reservation are the ones disclosed to you in your client agreement or in the trip-specific booking terms for that experience.
Wander World Planning Fees
Planning fees charged by Wander World Destinations compensate us for professional advisory, research, coordination, consultation, and related planning work performed on your behalf. They are separate from supplier costs and are not contingent on whether a trip ultimately takes place.
Before substantive planning begins, WWD may issue a refund of the planning fee at its discretion.
Once substantive planning begins, the planning fee is non-refundable. Substantive planning may include research, itinerary development, supplier outreach, proposal preparation, reservation coordination, and similar planning work actually performed for you. Receiving an inquiry or opening a client record does not by itself constitute substantive planning.
Planning fee amounts and terms are disclosed prior to engagement and outlined in your client agreement. See also Section 03 of our Terms & Conditions.
Supplier Payments & Supplier Policies
Refunds for payments made to travel suppliers are governed by the terms of the applicable supplier, including:
- Airlines
- Hotels and resorts
- Cruise lines
- Tour operators
- Transfer providers
- Destination partners
- Other travel suppliers
Depending on the supplier and the timing, deposits and payments may be refundable, partially refundable, non-refundable, or subject to penalties. Many hotel, airline, and tour operator deposits are non-refundable regardless of when you cancel.
WWD will communicate the applicable supplier terms as we understand them and will advocate on your behalf with suppliers wherever possible. WWD cannot guarantee a refund that is controlled by a third-party supplier, as those decisions are outside our control.
Private & Custom Travel
For individually planned travel — custom itineraries, honeymoons, destination weddings, private group travel, and similar arrangements — cancellation and refund eligibility depends in part on the terms of each supplier involved and on the client agreement you have with Wander World Destinations.
We will review your reservation, identify the terms that apply, and pursue available options with suppliers wherever possible. We cannot promise that a supplier will issue a refund or credit.
WWD planning fees are handled as described in Section 02 above and are separate from any supplier refund outcome.
Hosted Wander World Experiences
Hosted trips, retreats, sailings, and other Wander World experiences may have experience-specific cancellation and payment terms. These terms reflect the supplier contracts and financial commitments made for that particular experience, which differ from trip to trip.
The cancellation schedule, payment deadlines, and deposit terms that apply to a hosted experience are disclosed in the booking agreement or trip-specific terms for that experience before you book. Those terms govern your reservation.
Cancellation requests for hosted experiences must be submitted in writing to hello@wanderworlddestinations.com. The cancellation date is the date WWD receives written notice.
WWD planning fees are handled as described in Section 02 and are separate from the trip-specific cancellation terms.
If a traveler is removed from a hosted experience under the conduct provisions of our Terms & Conditions, removal does not by itself create a right to a refund. Whether any amount is recoverable is determined by the applicable WWD, supplier, and trip-specific cancellation terms. Roommate and occupancy changes are likewise governed by the applicable trip and supplier terms.
Payment Plans & Missed Payments
Where a payment plan has been approved for a reservation, scheduled payments are due on the dates set out in your agreement or trip-specific terms. Payment deadlines are firm and are often driven by supplier requirements. There is no universal grace period.
WWD may make reasonable efforts to contact you about a missed payment, but doing so does not extend the deadline. Nonpayment may result in cancellation, loss of reserved space, penalties, or forfeiture of amounts already paid, according to the applicable supplier and trip terms. Where the deadline and its consequences were disclosed, WWD may cancel participation for nonpayment.
Individual hosted experiences may set their own specific payment terms in their trip agreements, and those terms govern that reservation.
Changes to Bookings
Date changes, name corrections, destination modifications, and other itinerary changes — whether requested by you or required by a supplier — may result in supplier fees, penalties, or differences in fare or rate. WWD will communicate any applicable supplier charges to you before changes are processed. These supplier charges are separate from WWD planning fees.
Reasonable revisions within the planning scope originally agreed with you are included in your planning fee. Material changes or substantial replanning may require an additional planning fee — for example, a major change of destination, dates, duration, traveler composition, trip type, or scope; substantial redevelopment after a proposal or itinerary has already been created; or repeated revisions beyond the agreed scope.
WWD will disclose and quote any applicable additional planning fee before performing that additional billable work. There is no universal replanning amount; the fee depends on the work involved.
No-Shows
A traveler who does not appear for a scheduled departure without prior written notice to Wander World Destinations is considered a no-show. A no-show does not create a guaranteed refund or credit from WWD.
Amounts already paid remain subject to the applicable WWD planning-fee terms, supplier terms, and trip-specific terms. WWD may assist with an eligible supplier request but cannot guarantee the outcome.
Travel protection is strongly recommended to help address unforeseen circumstances that may prevent travel.
Travel Advisories & Circumstances Beyond Our Control
Travel may be cancelled, interrupted, or altered by circumstances outside Wander World Destinations' control, including government-issued travel restrictions or advisories, natural disasters, pandemics, declared emergencies, and supplier bankruptcy or cessation of service.
In these circumstances, WWD will work with affected clients to identify the options available from the applicable suppliers. We cannot promise that a supplier will provide a refund, credit, rebooking, or reimbursement.
Events outside WWD's reasonable control do not automatically entitle a client to a refund of WWD planning fees already earned or of payments made to suppliers. Planning fees are handled as described in Section 02.
Travel Protection
We recommend that every traveler consider appropriate travel protection, ideally at the time of the first trip payment. Coverage may include trip cancellation, interruption, emergency medical care, and evacuation, depending on the plan.
We can discuss options with you during planning, including travel insurance through Faye and travel risk, medical, and evacuation membership services through Global Rescue, which is a membership service rather than travel insurance.
Eligibility, exclusions, benefits, and claim outcomes are determined by the applicable policy or membership terms. Purchasing travel protection does not guarantee reimbursement.
See our Resources page for more on how we think about protection.
Requesting a Cancellation or Refund
To request a cancellation or refund, please contact us in writing at hello@wanderworlddestinations.com. Please include:
- Your full name
- Your booking reference
- The reason for the cancellation or refund request
WWD will review the request and provide information regarding the applicable WWD and supplier terms for your reservation. Where a refund is controlled by WWD and the amount is eligible for refund, we process it within a reasonable period.
Where a refund is controlled by a third-party supplier, WWD may assist with an eligible request but cannot guarantee whether it will be approved, or the amount, form, or timing of any refund or credit. Those outcomes follow the supplier's own procedures. WWD does not charge a fee to process a refund request.
Changes to This Policy
Wander World Destinations may update this Refund & Cancellation Policy. Changes will be reflected by a revised effective date on this page.
The policy or agreement accepted for a particular reservation may govern that reservation, including where trip-specific terms apply.
